Law Firm - Fax Integration Improvement
A law firm came to 360Works with a database they wanted to make more efficient. Staff members were spending large amounts of time waiting for systems to load. While reviewing their system and work process I noticed an excellent opportunity to improve efficiency in their workflow - users would receive a paper fax or an e-fax in their inbox, scan it in to their computers or download it, and then attach then make a series of notes in the database to mark that the document they had received belonged to a particular case in the database. There was a system in place to this, but it was an excellent opportunity to improve the workflow for this company.
I added layouts, scripts, and modified functionality of their database to improve on this process. After my improvements their server would now automatically download faxes from their e-fax service and make references in their database to these files. Users were presented with an easy-to-use document browsing interface in the database where they could quickly scan through and pick out which new incoming faxes needed to be assigned to cases. An efficient selection and assignment process helped cut the entire process down to a fraction of the time it had been taking before. I was forwarded an email from one of the employees who was thanking the owner and primary lawyer, saying that the system was "...the best thing that has happened since I started working at this company."
Local Union - Membership Database Redesign
A clear case of poor interface design was presented to me by a nearby union office. They were using a membership database which their employees found hard to use and didn't function the way they wanted it to. Data for a single process needed to be entered across multiple screens in different parts of the database, sometimes repeatedly in different forms. The process of selecting records to view and work with was unintuitive and could give the user an incorrect set of information if the confusingly labeled buttons weren't clicked in the correct order. Menu systems moved and rearranged between screens or would become unavailable, requiring users to exit and re-enter the system to access the screens that they needed.
Through a series of phone meetings I was able to help them find out what they were trying to do in each screen (something they weren't sure about all of the time) and what information needed to be available to the users throughout the data entry and reporting process. I was able to design a new system which cut down the number of menus, buttons, and steps required to enter and retrieve information significantly, leading to a more intuitive and simple system.
